Overview

This document will go into detail about the quote and order process for inside and outside sales. This article will also cover common scenarios plus tips and tricks to make the order entry process seamless for you and your customers.

Getting Started

To get started from your navigation select the ‘New’ icon and choose New Quote/Order. Alternatively, you can go to the top menu and select ‘Order’ and hover over ‘New’ to receive the same options.

NOTE: In the Savance software an order that is not converted is considered a Quote and does not allocate stock, nor is the customer charged/invoiced.

Quote/Order Header

Below is a reference list of the following options that are available within the Quote/Order header. If selected they become the general setting for the entire order.

Within the Quote/Order Header there are several tabs available for additional information and or for reference about the order. In this next section, we’ll go into detail about these tabs.

Quote/Order Line Details

When placing a Quote/Order there are several columns that are displayed within the line details. In this next section, we’ll go into detail about these columns and what they mean. NOTE: In Settings > Spreadsheet Admin you can configure what information you want to be displayed both on the screen and what is printed.

Once an order has been converted and you wish to reference it, three additional columns will appear.

Quote/Order Header Icons

Above the Quote/Order Header are icons that can also assist you when converting, saving, and sending a quote/order. Below is a description of the icon and its action while in the ordering process.

Common Order Scenarios

Accounts vs. Contacts

In this section, we will talk about the difference between Accounts and Contacts within the Savance software.

To view your contacts for any account from the navigation select Accounts > Manage Accounts, find the account name, and select the ‘Contacts’ tab.

Searching for an Order/Quote/RMA

There are a few ways to search for orders, quotes, RMA’s, etc. within the Savance Platform. As discussed earlier in this document the first way to search is by selecting the ‘Open’ icon from your header.

This will then open the ‘Object Browser’

From here you have several filters that you can use to narrow down your search results. By default when you first open the object browser several items will load automatically:

It is important to note that if you are searching for an order that was not placed by you it is best to remove the Sales Owner and select All (unless you know the person who has placed the order.)

When searching at times more information is better to narrow your search results, however there are other fields that may additionally help you:

NOTE: If you make any changes to the Object Browser, i.e. Date Range, Object Type, Location, Sales Owner the next time you bring up this search window your previously selected filters will be selected.

Another way to view Orders, Quotes, and Returns is via the Account Manager. If you know the Account Name from the navigation select ‘Accounts > Manage Accounts’

Checking Availability on a Part Number

Within the line details at times (especially a multi-location) you may want to see what is available at another location, choose an alternative option for delivery, or just view what’s on order, back ordered, etc.

In a new quote/order,

Changing Bill To / Ship to Address On An Order

Sometimes it may be necessary to change the Bill To or Ship To address on an order after it was converted. For example, after invoicing an order, you may notice that one of the addresses is incorrect on the invoice. Perhaps the account is configured incorrectly, the wrong address was selected prior to order conversion, or the address information has changed after the order went through.

Entering an order you know you have the material in stock but the warehouse value is wrong

Entering an order for a Credit Customer and it says that the order is on credit hold

Entering a Credit Customer order, and it says the customer’s credit limit is not sufficient

Reprinting a pick ticket, packing list, receipt, or any other document for an order

Add an item to an order

Lot Pricing Sales Process

All lot-priced orders must start with a sales order (SO).

NOTE: You must add one “Lot Price” item for every MFG you are selling.

- Enter LOTPRICE as the part number

Delete an item from an order that has NOT been picked or staged yet

Delete or change the quantity of an item from an order that HAS been picked or staged

Delete or change the quantity of an item on an order that has NOT been picked or staged

Creating a Customer Credit/Refund

Creating a Copy of an Order

In the scenario that you need to make a copy of an order, canceled order, or quote. First, you will need to make sure you recently saved the order you were working on or canceled. We will now do an Order Save As.

A copy of the order will automatically appear. NOTE: A new order number will be assigned.

Creating a PDF Copy of a Quote/Order

In the scenario that you need to email a copy or just save a copy of the quote/order for your files you can create a PDF version of the order.

A PDF version of the document will appear that you can either attach or save for your reference.

For More Info Just Right-Click

Within the line details of a quote/order in any field you can right-click to view additional information and or get a list of tools to help you process the order. In the section below we will go through the available information in this menu.

- Show Open Orders/POs - Will allow you to view any open orders and or POs.
